1. Scope and our role
This policy applies when you visit TELITRON websites, request a demonstration, create or use a TELITRON workspace, communicate with us, or interact with a TELITRON-powered receptionist.
For customer account and website information, TELITRON determines why and how information is handled. For caller information handled on behalf of a business customer, that business generally decides the purpose and configuration of the service, and TELITRON processes the information to provide the service.
2. Information we collect
- Website and demo requests: name, company, work email, phone number, team size, call volume, use case, message, source page, and basic security information used to prevent abuse.
- Accounts and workspaces: email, authentication records, company and location details, business hours, staff or routing information, knowledge-base content, service rules, and account activity.
- Calls and communications: caller ID, names, contact details, call metadata, recordings when enabled, transcripts, summaries, messages, requested actions, and notification delivery information.
- Appointments and integrations: requested dates and times, service details, calendar identifiers, appointment status, and authorization tokens for connected services. TELITRON does not ask for or store your Google password.
- Payments: payment status and transaction references when payment features are enabled. Full payment-card information is handled by the payment provider and is not stored by TELITRON.
- Technical information: IP address, browser and device information, request timestamps, security logs, and essential cookies or similar storage described in our Cookie Policy.
3. Why we use information
We use information to provide and secure the service; authenticate users; configure and operate receptionist workflows; route and summarize calls; create requested appointments; send supported notifications; respond to demo and support requests; maintain audit records; prevent fraud and abuse; diagnose failures; comply with law; and improve service reliability.
We do not use customer call content to invent company policies, and we do not sell personal information. If we introduce a materially different use, we will provide notice and seek consent where required.
4. Consent and choices
We seek consent in a form appropriate to the information and the purpose. Some processing is necessary to provide a requested service, protect accounts, or meet legal obligations. Optional processing should remain optional. You may withdraw consent, subject to legal or contractual limits and reasonable notice, but doing so may prevent a feature from working.
Customer businesses are responsible for providing any legally required call-recording, transcription, or automated-receptionist notices and for configuring TELITRON consistently with the laws that apply to them and their callers.
5. Service providers and disclosures
We disclose information only as needed to operate the service, follow customer instructions, complete a requested transaction, protect rights and safety, or comply with law. Current or supported providers include:

Providers may process information outside Canada. Information handled in another country may be subject to that country’s laws and lawful access processes.
6. Retention
We keep information only as long as reasonably needed for the purposes described above, customer instructions, security, dispute resolution, and legal or accounting obligations. Retention can vary by record type and workspace configuration. When information is no longer required, we delete, anonymize, or securely isolate it as appropriate.
7. Security
We use safeguards appropriate to the sensitivity of the information, including encrypted transport, restricted credentials, secure session cookies, tenant isolation, role-based access, provider access controls, and operational logging. No system can guarantee absolute security. Customers must protect their passwords and notify us if they suspect unauthorized access.
8. Access, correction, deletion, and complaints
You may ask about personal information TELITRON holds about you, request access or correction, or raise a privacy concern. Some requests may need to be directed to the TELITRON customer business that collected the caller information. We may need to verify your identity and may retain information where law or legitimate security requirements permit.
Submit a request through our contact form and begin the message with “Privacy Request.” Include only the information needed for us to identify and respond to the request.
9. Children
TELITRON customer accounts are intended for adults acting for a business. The public service is not directed to children. Customers whose callers may include minors are responsible for appropriate notices, consent, and configuration.
10. Changes to this policy
We may update this policy as TELITRON changes. We will update the date above and provide additional notice when a change is material or requires renewed consent.
